The send icon at the top right of the customer page starts the Send message wizard in four steps. You choose a channel and template, edit the content and send right away or at a later moment. A Payment request is not yet available.
How to do it
- Open the customer and click the send icon at the top right (next to the tabs).
- Step 1 of 4: Recipient
- Under Message type, choose Informational message ("Any payment options in the attachment remain available").
- Choose the Channel: Email, SMS or Letter. A channel is grey if there is no template for it ("No Email templates available for sending").
- Fill in Concerning. For Letter you also fill in Street name, House number, Zip code, City and Country (Netherlands by default).
- Step 2 of 4: Template & planning
- Under Template, choose the template (required).
- Under Planning, choose Send now or Schedule for later. If you schedule, choose a date and time under Send at.
- Step 3 of 4: Content. Edit the text in the fields of the template, for example the title and the text blocks of a letter.
- Step 4 of 4: Review & send
- Check the channel, recipient, template and send moment.
- If you want, add an attachment with Add an attachment, for example an invoice.
- Look at the Preview and click Send.
- Confirm with Send message. You see the notice "Message successfully created".
Good to know
- The message then appears on the customer's Messages tab, also if it is scheduled.
- You can still cancel a scheduled message until the send moment. See Postponing, withdrawing or cancelling a message.
- Payment request is shown in the wizard but is turned off: "This feature is not yet available." See Sending a payment request.
- A letter first goes to Quality control before it goes to the printer. See Checking and sending letters (Quality control).
- You find separate messages in the General correspondence report. See Report types.
