If a customer has more than one outstanding collection order, you can merge them into one collection order with one payment reference and one flow. Select at least two collection orders and click Merge collection orders in the action bar.
How to do it
- Open the customer. On the Collection orders tab, tick at least two collection orders.
- Click Merge collection orders in the action bar at the bottom right.
- Collection orders: check the selection. For each invoice you see the reference, the subject and the amount, and the total.
- Details: choose the payment reference and the subject of the new collection order.
- For the payment reference, choose an existing reference or Use a new payment reference. For a new reference, fill in Payment reference for merged collection order.
- For the subject, choose an existing subject or Use a new concerning.
- If other details differ between the collection orders, you also choose which ones to keep.
- Flow: choose the Action date, the flow and the flow step that the merged collection order starts with.
- Overview: check the action date, flow, flow step, subject and payment reference. Click Send.
Good to know
- With only one collection order selected, the button is grey: "Select at least 2 collection orders to merge".
- Merging must be turned on in Settings > General settings (switch Merge collection orders). See General settings.
- The original collection orders still exist, linked to the merged collection order. They are shown less prominently in the portal.
- The collection orders stay in sync with each other. If you raise or lower the amount on the merged collection order, the change is passed on to the underlying collection orders, and the other way around.
- A payment on the merged collection order is divided over the underlying collection orders, starting with the oldest. When that one is fully paid, the rest goes to the second oldest, and so on.
